PHILOSOPHY
 
The real estate field is very exciting and active for me. I work six to seven days a
week including evenings and weekends. I strive for excellence!

My REALTOR® Assistant is an extension of me. When clients and potential clients
come into contact with my REALTOR® Assistant, they shall receive the same excellent service from the Assistant as from myself. The Assistant's focus is on my daily real estate activities; to assist me in every possible way so we can give excellent service to the client-buyers, sellers, past clients and future clients.

QUALIFICATIONS OF THE JOB

Personal qualifications:

The following are personal traits that are needed for this job:

5. Must be drug free-no smoking, drinking or drugs.

Work Qualifications:
 

The following abilities are necessary for this job:

1. Must have typing skills or 30-40 words correct words per minute.
2. Must be able to use a personal computer. Must be able to use Microsoft Word and the Internet.
3. Must be able to read easily and follow a map with skill and efficiency.
4. Must be able to use measuring tools and tapes for measuring rooms and the exterior of homes. Must have math skills and will receive specific training.
5. Must be able to use a calculator.
6. Must be able to effectively communicate, to retrieve and give information to/from buyers, sellers, other REALTORS®, all industry contacts.
7. Must be able to follow up on calls, correspondence, showings, advertising contacts through verbal and written means.
8. Must be able to assist in prospecting for new business.
9. Must be able to work independently, be organized on a daily and weekly basis. Will keep a daily planner and monthly planner and use it.
10.  Must make work cost effective and efficient for both the Assistant and me. We do not waste time, sit around and talk. We work consistently. We work quickly and accurately. We plan to conserve time, money and energy.
 
 
JOB REQUIREMENTS

1. Must have a car and car insurance. When the car is unavailable must have a substitute car. I need a copy of the Assistant's current driver's license and insurance card.
2. Must be able to work 15-20 hours per week.
3.Must present a business like appearance and demeanor.
4. Must be familiar with Tallahassee streets.
5. Must provide a satisfactory credit report.
6. Must provide a report from the Department of Motor Vehicles to show a satisfactory driving record.
7. Must give permission to run a Florida Department of Law Enforcement background check. This must be satisfactory.
8. Must provide two letters of reference from people who are not friends or relatives.
 

JOB DESCRIPTION:

The following is a basic description of activities for the REALTOR® Assistant. These activities will vary daily/weekly/monthly.
 
1.  To prepare packages for buyers, sellers, owners, and REALTORS® for marketing, prospecting, follow up, etc.
2.  To use the computer and typewriter for program development, correspondence, mailings, MLS research, etc.
3.  To assist with preparing and placing houses on the market for sale, i.e. measuring, erecting signs, computer input, developing marketing flyers, and other forms of advertising, etc.
4.  To pick up and deliver important documents, packages, etc.
5.  To make calls to order, follow up, organize all real estate activities for buyers and sellers and potential clients.
6.  To hold open houses, give Tours of Tallahassee, assist with REALTOR® Luncheons, etc.
7.  To perform some personal errands for me.

10. Why are your grammar, enunciation and volume in speaking important on the phone?
 
 

11. When taking dictation from my voice mail, or me why is it important to copy all information verbatim?
 
 

12. I am out of the office, the fax runs out of toner and we did not order a refill toner kit. We have to fax out a contract, what should you do? What other factors are involved here?
 
 
 

AUTHORIZATION FOR BACKGROUND CHECK
 
 

Being a REALTOR®, we have a legal responsibility to protect our client. We have a fiduciary relationship or one of confidentially. We are to keep all information in confidence. We also, are responsible for security. We have keys to homes and you, as the executive assistant, will use these keys. You will carry them with you, you will go into homes and you will lock up and secure the homes. There are many matters other than the above examples that we come across on a daily basis that we are responsible for and to a client.
 
 

If a key is lost or stolen and it was in your charge (I will not have a key-I use the lockbox), you will be responsible for the cost of re-keying the house.
 
 

For your protection, the clients', the company (JOAN H. RALEY, REALTOR®), and my protection, as an individual, we will run a background check through the Florida department of Law Enforcement, the Department of Motor Vehicles and the Credit Bureau.
